New Vendors:

  • Please go to https://reddarcvendor.freshdesk.com/support/home
  • Select “New Support Ticket”
  • Supply all information as requested (Questions with a are required fields)
  • US vendors require a W-9
  • If the vendor is coming onsite to perform any work, we will require a copy of their certificate of insurance as outlined in the Safety Manuals.
  • If the new vendor is replacing another vendor, please supply the vendor code to be blocked
  • Attach all required backup. PDF preferred (Must not be an editable format ie Word, Excel)
  • If the vendor is to be paid by anything other than cheque, confirmation by phone with someone other than the original requestor. Please include the name, position and the time and date of the phone call along with the RDA Associate who made the call. Also a remittance email is required to process electronic payments in D365 and will be required for all new setups.
  • If there are any additional notes to be made aware of, please add it in the description field at the bottom of the form
  • Submit


Vendor Bank Changes:

  • Please go to https://reddarcvendor.freshdesk.com/support/home
  • Select “Vendor Banking Changes”
  • Supply information as requested that relates to your specific requirements (ie UK vendors do not use RFC numbers and therefore this section should not be filled in for that country)
  • All bank changes require the following:
  • Two forms of documentations. PDF preferred (Must not be an editable format ie Word, Excel)  as per the following:
  • Void/Cancelled cheque
  • Invoice
  • Monthly bank statement
  • Updated information on company letterhead and signed by a source other than the requestor
  • A statement from the vendors bank on bank letterhead and signed by a bank officer
  • Vendor confirmation by phone with someone other than the original requestor. Please include the name, position and the time and date of the phone call along with the RDA Associate who made the call.
  • A remittance email is required to process electronic payments in D365 and will be required for all new setups.


General Updates:

  • Please go to https://reddarcvendor.freshdesk.com/support/home
  • Select “Vendor Card Updates”
  • Supply any information that is required to change on the vendor card. This can include, but is not limited:
  • Remittance address
  • Phone numbers
  • Payment terms
  • Payee name (This will require verification that the tax ID is unchanged)

Block or Unblock Requests:

  • Please go to https://reddarcvendor.freshdesk.com/support/home
  • Select “Block/Unblock”
  • Supply any information that is required to validate and block/unblock the vendor. 
  • If a vendor has not been used for over 2 years, more information may be required.

Any of the above types of vendor requests can no longer be submitted to @RDA Vendor or @RDA Vendor approve. Requests that are submitted will be returned with a redirection reminder.


Vendor requests sent without all of the required information will be rejected.


NOTE:   Airgas will not change these requirements because of urgency, an expedited payment request or because of a "secret" or "confidential" situation.  If you are asked to circumvent these requirements, please alert your Supervisor or Compliance and Controls immediately as this may be a fraud attempt.  If fraud is suspected, the vendor shall be placed on a payment block until a thorough investigation is concluded.
